Use the school timetable to shape the day

Share any admission slot or guided tour start time supplied by the attraction. Include the time the school wants to arrive, which may be earlier than the visit itself. If the tour includes lunch at another venue or a second attraction, list that stop and the proposed timings so it is part of the transport enquiry from the beginning.

For the journey home, provide the return collection point and the planned arrival back at school. If the school needs a particular return time, make it clear when asking for a quote. Explain any part of the day that is still provisional, including changes in pupil numbers or a visit awaiting confirmation.

Confirm the details before sharing them with families

Nominate the school organiser who can confirm the itinerary and final passenger total. Include teachers and other accompanying adults in that total. Before you circulate final travel arrangements, discuss the vehicle, collection details, availability and booking terms directly with the team.
