Plan for the fixture, not just the drive

Tell us when the group needs to arrive at the venue, allowing for the time your school wants before the event starts. Include the venue address, your school departure point and your preferred return pick-up time.

For a tournament or a day with several fixtures, send the proposed schedule and explain which timings are fixed and which are still provisional. Discuss any additional venues or stops with the team when you enquire.

Players, adults and equipment

Count every passenger, including players, teachers, coaches and any other adults accompanying the school group. Vehicles range from 10–16-seat minibuses through to double-deckers with up to 78 seats.

Check the full venue address with the event organiser. Different grounds or entrances may be used within the same area, and a town name is not a complete destination. Include any arrival instructions or proposed group collection point supplied by the venue as part of your itinerary.

Organise the travelling party

Include the players, school staff, coaches and other accompanying adults in one passenger total. If equipment travels with the team, describe it before choosing a vehicle by seats alone. Send your school’s pick-up address, meeting time and the time you want the group to reach the competition.

For a regional or national event, share the complete outward and return plan in the same enquiry. Nominate the organiser who can agree details with the team. Confirm vehicle suitability, timings and booking arrangements before sharing the final travel plan with families or treating the transport as reserved.
